1. Introduction
These Terms & Conditions (“Terms”) govern your use of the Call Ai’d service.
By using Call Ai’d, you agree to these Terms in full.
If you do not agree, you must stop using the service immediately.
2. The Call Ai’d Service (What We Provide)
Call Ai’d provides AI-powered telephone answering and automated order-printing for restaurants and takeaways.
The service includes:
AI call answering
Order capture and confirmation
Menu handling
Multi-language support (plan dependent)
Optional call recording
Direct printing via Raspberry Pi or cloud printing
Menu setup and updates (when provided by you)
Call Ai’d does not guarantee:
100% uptime or availability
Successful printing if your Wi-Fi, power, printer hardware, or cabling fails
Delivery-time accuracy if your business does not provide updated timings
Perfect understanding of every caller, accent, background noise, or scenario
Zero missed orders during third-party outages
Call Ai’d is a best-effort AI service, not a guaranteed telephone system or replacement for a staffed call centre.
3. Business Responsibilities (Your Obligations)
To use Call Ai’d effectively, you must ensure:
Your internet connection is stable
Your Raspberry Pi remains plugged in (power + Ethernet/Wi-Fi)
Your printer has paper, ink (where applicable), and correct cabling
Your shop number is forwarded to the Call Ai’d AI number
Your menu and prices are accurate
You notify us of menu/price changes
You comply with allergen communication requirements
Call Ai’d cannot be held responsible for issues caused by incorrect setup, failing hardware, poor Wi-Fi, power cuts, or outdated menus.
4. Hardware (Raspberry Pi) – Deposit, Usage & Return
If we provide you with a Raspberry Pi device, the following terms apply.
4.1 £80 Refundable Deposit
An £80 refundable deposit is required before hardware is dispatched.
The deposit does NOT go towards subscription fees.
The deposit is refunded only when the Pi is returned in acceptable working condition.
4.2 Return Requirements
If you cancel the service:
You must return the Pi within 14 days
The Pi must be in reasonable working condition
Excessive damage, missing parts, or non-return may result in the deposit being withheld
Where Next Ltd is not responsible for return postage costs unless legally required.
5. Free Trial Terms
If a trial is offered, it begins when:
The Pi is delivered and activated
Or, your AI phone line is activated (if no device required)
During the trial:
You may cancel with no subscription fees
If not cancelled, the service continues automatically
The £80 deposit remains separate, refundable only upon return of the device
Subscription fees begin only after the trial period ends
6. Payments, Billing & Refunds
6.1 Subscription Fees
Subscription fees are billed monthly in advance.
Your plan includes:
Assistant: £30/month • 150 mins included • 16p per extra minute
Supervisor: £45/month • 275 mins included • 15p per extra minute
Manager: £60/month • 350 mins included • 18p per extra minute
You must maintain an active payment method at all times.
6.2 Extra-Minute Charges
Minutes beyond your plan allowance are billed per minute, rounded to the nearest full minute.
6.3 Late or Failed Payments
If payment fails:
Your service may be paused
Calls may revert to your normal number (Backup Mode)
Repeated failures may result in cancellation
6.4 Refund Policy
Subscription fees are non-refundable once billed
Deposit refunds apply only when hardware is returned safely
No refunds are issued for partial months or unused minutes
7. Cancellation & Notice Period
You may cancel at any time with 30 days’ notice.
After cancellation:
Your service remains active during the notice period
You must return the Pi within 14 days
Data associated with your account is deleted after 30 days unless legally required to retain it
8. Data Handling & Privacy
Call Ai’d processes:
Caller phone numbers
Order details
Menu data
Logs of AI interactions
Optional call recordings
Where Next Ltd complies with UK GDPR.
You must ensure your business also complies with GDPR and inform customers that calls may be handled by AI.

9. Intellectual Property (IP)
All AI prompts, workflows, scripts, call flows, software, tools, and backend systems are owned by Where Next Ltd.
You may NOT:
Copy or replicate the system
Reverse-engineer our prompts or flows
Resell Call Ai’d
Recreate our service or compete using our IP
You receive a licence to use the service, not ownership.
10. Service Limitations (Important)
Call Ai’d relies on third-party providers including:
Vapi.ai
Make.com
Twilio/Telnyx
Epson Connect
Google Cloud / AWS (where applicable)
Your local Wi-Fi, router, cables, printer, and power
If these external services fail, Call Ai’d may be affected.
We cannot be held responsible for losses caused by external outages or connectivity failures.
11. Liability Limitations
To the fullest extent permitted under UK law:
Call Ai’d is not liable for lost revenue, missed orders, failed prints, downtime, Wi-Fi issues, or operational losses
The service is provided “as is” with no guaranteed uptime
Your exclusive remedy for dissatisfaction is cancellation
Our total liability is limited to one month of subscription fees.
12. Changes to the Service or Terms
We may update:

Features
Hardware requirements
Terms & Conditions
Third-party dependencies
You will be notified of major changes by email or on our website.
Continued use of Call Ai’d constitutes acceptance of the updated Terms.
13. Governing Law
These Terms are governed by the laws of England & Wales.
Any disputes will be handled exclusively by the courts of England & Wales.
