1. Introduction
These Terms & Conditions (“Terms”) govern your use of the Call Ai’d service.
By using Call Ai’d, you agree to these Terms in full.
If you do not agree, you must stop using the service.
2. The Call Ai’d Service (What We Provide)
Call Ai’d provides AI-powered phone answering and automated order-printing for restaurants and takeaways.
The service includes:
AI call answering
Order capture
Menu handling
Direct printing via Raspberry Pi or cloud printing
Multi-language support (depending on plan)
Optional call recording
Call Ai’d does not guarantee:
100% uptime
Perfect printing if the takeaway’s Wi-Fi, power, printer, or cables fail
Delivery-time accuracy if the business does not provide up-to-date information
Perfect understanding of every accent, background noise, or caller behaviour
Call Ai’d is a best-effort service, not a guaranteed telephone system.
3. Business Responsibilities (Your Obligations)
To use Call Ai’d, you must ensure:
Your internet connection is stable
Your Raspberry Pi (if provided) stays plugged in
Your printer has paper, power and correct cabling
Your shop number is correctly forwarded to the AI number
You provide accurate menu information
You update us on price/menu changes
You confirm any allergen or dietary information required
If your setup is incorrect, Call Ai’d cannot be held responsible for issues caused as a result.
4. Hardware (Raspberry Pi) – Deposit, Usage & Return
If we send you a Raspberry Pi device, you must pay a £50 refundable deposit.
4.1 Deposit Rules
If you continue after the trial → the £50 rolls into your first month
If you cancel → you must return the Pi to receive a refund
Pi must be returned in reasonable working condition
4.2 Return Policy
You must return the Pi within 14 days of cancellation
If the Pi is damaged beyond normal use, the deposit may be withheld
5. Trial Terms (5-Day Free Trial)
The free trial begins when the Raspberry Pi is delivered and activated.
Trial includes:
Full access to your selected plan
AI call answering
Menu setup
During the trial:
You may cancel at any time with no fees
If not cancelled, the service automatically continues
The deposit rolls into your first month’s bill
6. Payments, Billing & Refunds
6.1 Subscription Fees
Fees are billed monthly, in advance.
You must have an active payment method.
6.2 Late or Failed Payments
If payment fails:
The service may be paused
Calls may revert to your normal number (Backup Mode)
6.3 Refund Policy
Call Ai’d does not offer refunds for months already used.
Deposit refunds apply only when hardware is returned.
7. Cancellation & Notice Period
You may cancel at any time by giving 30 days’ notice.
Upon cancellation:
Service remains active for 30 days
Pi must be returned
Account data is deleted after 30 days
8. Data Handling & Privacy
Call Ai’d processes:
Caller phone numbers
Order details
Shop menu data
Optional call recordings
We comply with UK GDPR and follow the policies set out in our Privacy Policy.
You must:
Inform your customers that calls may be handled by AI
Ensure your business is GDPR-compliant
9. Intellectual Property (IP)
All AI prompts, workflows, scripts, call flows, and software belong to Where Next Ltd.
You receive a licence to use the service — you do not own it.
You may NOT:
Copy the system
Reverse-engineer prompts
Re-sell Call Ai’d
Recreate our system for commercial use
10. Service Limitations (Important)
Call Ai’d is dependent on third-party services including:
Vapi.ai
Make.com
Twilio/Telnyx
Epson Connect
Local internet & Wi-Fi
If these services have downtime, Call Ai’d may be affected.
Call Ai’d is not liable for any losses caused by external outages.
11. Liability Limitations
To the maximum extent permitted by UK law:
Call Ai’d is not liable for any lost revenue, missed orders, printer issues, Wi-Fi outages, or customer complaints.
Call Ai’d provides the service “as-is” without guaranteed uptime.
Your sole remedy for dissatisfaction is to cancel the service.
Our total liability is limited to one month of subscription fees.
12. Changes to the Service or Terms
We may update our service, features, pricing or Terms at any time.
We will notify you of major changes via email or on our website.
Continued use after updates means you accept the new Terms.
13. Governing Law
These Terms are governed by English law.
Any disputes will be resolved in the courts of England and Wales.
